Why does a printer show Offline?
An Offline status does not always mean the printer is physically disconnected. Windows may have a stale network address, a paused queue, an unavailable print spooler, or an incorrect printer port.
1. Confirm power and connection
Check the printer panel for an error and confirm the Wi-Fi or Ethernet indicator. For USB printers, reseat the cable and try another USB port. For network printers, confirm that the printer and computer are on the same network.
2. Restart both devices
Turn the printer off, wait a few seconds, and turn it back on. Restart the computer if Windows continues to display an old connection state.
3. Check the Windows printer settings
Open Settings → Bluetooth & devices → Printers & scanners and select the printer. Check whether it is paused or has pending jobs. Run a test print after clearing any stuck jobs.
4. Check the network address
Network printers can stop responding if their IP address changes. Printing a network configuration page from the printer can reveal the current IP address. If your printer uses a fixed or reserved address, make sure the configured port matches the current address.
5. Reinstall when needed
If the printer remains offline after connection checks, remove it and add it again. Use the latest driver supplied through Windows Update or the manufacturer's official support channel.
